Position Summary
The Assistant Director of Student Accounts plays a critical role in supporting the financial operations of the Student Accounts Office at a Holy Family University. This position is responsible for assisting in the Director of Student Accounts, supervising the billing processes, and providing customer service related to student account transactions. The Assistant Director works closely with students, parents, staff, and various campus departments to ensure accurate and timely billing, collection of tuition and fees, along with the day-to-day operations of the Student Account Office.
Key Responsibilities:
- Billing and Payment Processing:
- Assist in the generation and distribution of student billing statements, ensuring accuracy and completeness.
- Oversee the application of payments, including cash, checks, credit card payments, and wire transfers.
- Ensure that financial aid, scholarships, and third-party payments are accurately applied to student accounts.
- Monitor and reconcile student accounts to ensure accurate balances and charges.
- Customer Service and Support:
- Serve as a point of contact for students, parents, and staff regarding inquiries related to tuition, fees, billing, and payments.
- Resolve billing issues and answer questions concerning tuition charges, financial holds, and account balances.
- Assist students in understanding payment plans and help them navigate available payment options.
- Collections and Delinquent Accounts:
- Assist with collection efforts for delinquent student accounts, including coordinating communication with students regarding overdue payments.
- Collaborate with the Collection Specialist and the Director to resolve outstanding balances.
- Develop and implement strategies to minimize accounts receivable aging and delinquency.
- Data Management and Reporting:
- Maintain accurate records of student financial transactions and ensure compliance with institutional policies and procedures.
- Generate periodic financial reports on student accounts, billing, and collections to the Director.
- Assist in audits of student accounts and help ensure proper documentation is maintained.
- Policy and Procedure Development:
- Assist in the development, implementation, and enforcement of policies and procedures related to student billing, payments, and collections.
- Work with other administrative offices (e.g., Financial Aid, Registrar) to ensure alignment of billing and student refunds with academic schedules and institutional policies.
- System Maintenance and Support:
- Help ensure the proper testing of updates are done monthly in the test environment of Colleague.
- Participate in training for staff on the use of billing and other software platforms.
- Test and implement system updates, as needed, to improve the efficiency of student account management.
- Other Duties as Assigned:
- Provide backup support for the Director and other office personnel during peak times or when necessary.
- Stay informed of industry trends, regulations, and best practices related to higher education finance and billing.
Qualifications:
- Education:
- Bachelor's degree in Accounting, Business Administration, Finance, or a related field. (Equivalent work experience may be considered in lieu of a degree.)
- Experience:
- Minimum of 3 years of experience in a financial or administrative role, preferably in a higher education setting.
- Strong knowledge of student account management, billing processes, and financial regulations within higher education.
- Experience with financial software systems (preferably Colleague) and Microsoft Office Suite.
- Skills and Abilities:
- Strong analytical and problem-solving skills with attention to detail.
- Excellent customer service and communication skills, both written and verbal.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Ability to work in an open aired environment.
- Knowledge of higher education financial aid programs and policies is a plus.
- Ability to work collaboratively with a diverse group of students, parents, and staff.
- Familiarity with FERPA (Family Educational Rights and Privacy Act) and other relevant student privacy and financial regulations.
- Reliable and regular attendance required
Working Conditions:
- Primarily office-based with some flexibility for remote work, depending on institutional policy.
- Occasional evening or weekend work may be required during peak billing periods or for special projects.
- Ability to handle confidential information with discretion.
