The University is a private institution in the Catholic tradition with campus locations in Philadelphia and Newtown PA. Position Summary

The Grant Accountant will serve as the finance contact and coordinator for federal, state, and private grants and gifts. Functions include but are not limited to working with the Advancement Office and Project Directors, tracking and monitoring grant expenditure activity, recording appropriate journal entries, and preparing and filing internal and external filings and reports.

The Grant Accountant will analyze and reconcile various University general ledger accounts with a focus on grants and gift accounting, along with preparing necessary journal entries, research and prepare surveys, and assist with annual financial and other audits.

Essential Functions

Grant/Gift Financial Management (70%)

  • Maintain/update records for various grants and gifts and prepare necessary reports and filings, including invoices and reimbursement requests
  • Consult with the Advancement Office during grant applications, specifically as grant budgets are prepared
  • Oversee all record-keeping functions for post-award grants, including time and effort reporting
  • Maintain/update endowment account records and required journal entries and reports
  • Maintain/update schedules of gift and grant accounts for financial audit
  • Maintain/update pledge documentation and general ledger accounts
  • Attend required in-person meetings and online conference calls for any grant programs, including HRSA
  • Prepare analysis and data collection for various annual surveys
  • Reconcile gifts and grants information with Advancement Office records

General Ledger (25%)

  • Analyze and reconcile various general ledger accounts on monthly/quarterly basis
  • Verify accuracy of agency and restricted accounts
  • Maintain/update records for various Federal Loan Programs and assist with required filings and reports
  • Assist in the reconciliation of federal awards, including federal financial aid, at fiscal year end
  • Oversee charitable annuity funds and quarterly/annual distributions to beneficiaries

Education & Experience Requirements

Bachelor’s degree in related field plus at least 3 years’ experience in relevant field required. Higher education experience preferred. Advanced degree will be considered in lieu of required experience.

Knowledge, Skills and Abilities

At least 3 years prior experience, preferably in higher education. Advanced degree will be considered in lieu of required experience. Strong work ethic, organizational skills and the ability to analyze and resolve issues independently is required. 

Knowledge of and ability to follow university policies and procedures.

Ability to establish and maintain effective working relationships. 

Ability to relate to a diverse population and to maintain composure when faced with difficult situations.

Work Environment

Operates in an office environment, that may have frequent interruptions. The area is well-lit, temperature controlled and free from hazards. Noise level is generally quiet to moderate.

Physical Requirements

Communicates frequently, in person, over the phone, or via a computer. Hearing is needed for extensive telephone and in person communication. Regularly required to sit for long periods of time; use hands to finger, handle or feel; reach with hands and arms. Manual dexterity is needed in order to operate a computer keyboard. Operates standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
