Position Summary

Holy Family University seeks an Enterprise Applications and Data Services Specialist to support the implementation, optimization, and ongoing management of enterprise applications and data services that enhance the student experience and operational efficiency. This role focuses on university applications, such as CRM systems, student information systems, and integration tools, to ensure seamless workflows, accurate reporting, and strong institutional support for enrollment, student services, and academic operations.  The specialist will work closely with the director, supervisor, and key stakeholders to align technological solutions with institutional goals and ensure effective collaboration across departments.

Essential Functions

  • Administer and maintain university applications such as Colleague (Student Information System), Ellucian CRM Advise, and document management platforms (e.g., Softdocs)
  • Oversee the integration and alignment of third-party tools like AMSA Connect with university systems to ensure seamless data flow and compatibility
  • Provide technical support and troubleshoot system issues promptly
  • Ensure data accuracy, integrity, and security across all university applications and databases
  • Collaborate with stakeholders to establish and document data governance practices
  • Lead or assist in implementing new systems, updates, or integration projects
  • Work closely with the director/supervisor, IT, admissions, student services, and academic departments to gather requirements, document processes, and deliver tailored solutions
  • Coordinate with external consultants and vendors to maximize project efficiency and successful outcomes
  • Develop user-friendly documentation, training materials, and resources for faculty, staff, and students
  • Conduct training sessions and workshops to enhance end-user proficiency with applications
  • Serve as a liaison between technical teams and non-technical stakeholders to ensure clarity and alignment on project goals

Education & Experience Requirements

  • Bachelor’s degree in Information Systems, Data Analytics, Business Administration, or a related field
  • Experience with enterprise application management, data services, or a related field within higher education
  • Proficiency with university applications such as Colleague, Softdocs, or similar systems is strongly preferred
  • Experience with data integration tools, APIs, and scripting languages (e.g., Python, SQL, JavaScript) is a plus

•    Experience using Active Directory 
•    Experience with API calls - GET and POST data from other applications
•    Knowledge of higher education data management practices and regulations (e.g., FERPA)
•    Knowledge of and ability to follow university policies and procedures
•    Occasional evening or weekend work may be required during system upgrades or project deadlines

Work Environment

Operates in an office environment that may have frequent interruptions. The area is well-lit, temperature-controlled, and free from hazards. The noise level is generally quiet to moderate.

Physical Requirements

Communicates frequently, in person, over the phone, or via a computer. Hearing is needed for extensive telephone and in-person communication. Regularly required to sit for long periods; uses hands to finger, handle, or feel; and reaches with hands and arms. Manual dexterity is needed to operate a computer keyboard. Operates standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
