Holy Family University is a sponsored ministry of the Sisters of the Holy Family of Nazareth founded in 1954. The University is a private institution in the Catholic tradition with campus locations in Philadelphia and Newtown PA. The main campus is nestled in the heart of a historic residential neighborhood in Northeast Philadelphia that is vibrant and just minutes from the excitement of Center City. Position Summary

Responsible for directing and assisting students at front counter, on the telephone or virtually if needed.  Serve as OSA’s liaison between both Financial Aid and Registrar offices. Must provide the highest level of customer service and have the ability to appropriately and professionally handle difficult people and situations.

The employee must understand and embrace the mission of Catholic higher education and must commit to the mission, goals and objectives of holy Family University in word and deed.

Essential Duties and Responsibilities

  • Responsible for Office of Student Accounts email; open, answer, forward and or share with team and other appropriate University Offices within 24 hours of receipt of email
  • Responsible for Office of Student Accounts voicemail; call into, answer, forward and or share with team and other appropriate University Offices daily, before end of normal business hours
  • Responsible for front counter (in person or virtually as needed)In a professional, respectful and courteous manor
    • Take, record and assist student with payments
    • Answer all account related questions and or direct students to Financial Aid
    • Rectify account related issues
  • Record all payments as they are received into the Office of Student Accounts by end of current day
  • Diligently record information about discussions with students, financial status, etc. on STRK screen in Colleague system
  • Reconcile cash receipts to cash collected each day
  • Assist with the retention of students by working with students on payment arrangements and managing balances to have them register for the next semester
  • Assist with the pre-collection process in conjunction with Student Service Collection Specialist and or Director of Student Accounts – mailing statements, letters, emails or phone calls to follow up for the past due balances
  • Perform term based third party billing based on defined dates
  • Complete third-party payment receipt report before 11:30 am each Friday and give to Director of Student Accounts for review
  • Contact students to come in and sign loan and scholarship checks and record on their account
  • Regular attendance and arriving on time for scheduled hours
  • Back-up Sr. Student Account Specialist, Student Account Collections Specialist and Director of Student Accounts
  • Maintain office supply levels, keeping counter clean and wiped down and place orders as needed
  • Other duties as assigned

Skills

  • Strong PC skills
  • Advanced knowledge of MS Excel and Word
  • Excellent oral and written communication skills
  • Attention to detail, planning and multi-tasking skills and self-motivation 
  • Strong interpersonal and organizational skills are required
  • Sensitivity to matters of confidentiality
  • Ability to work in an open office environment
  • Must be a team player
  • Ability to accept performance feedback in a professional manner

Qualifications

  • High School Diploma
  • Minimum of five years customer service experience, preferably in Student Account Services
  • Preferably Higher Education environment experience
  • Must have technical aptitude to learn Colleague system
